The Challenge

The project needed to develop an innovative new software product to unify and speed up access to complex information and advice for staff and customers.

It was important to provide easy access to targeted information on all aspects of planning and environmental management to support the sustainable management of protected sites. Comprehensive access to historical data (structured and unstructured, held across a diverse range of systems) would help improve the quality of applications received, as well as responding to queries and applications for change. The solution needed to be developed to government security and accessibility standards.

We worked with Inwedo on an innovation project that required particular flexibility: the pace was fast, and learning to take advantage of new advances in technology and AI methods was a constant feature of the assignment. We needed a capable and flexible team that would feel comfortable working with our architects and developers in a dynamic project environment. The Inwedo team was up for the challenge, accommodated changing priorities in response to user research, and the work was delivered to a high quality.

The Solution

The end user’s perspective is our starting point in all areas, so the new system was designed to be easy to navigate, reflect the mapped processes, and guide users through them without the need to refer to complex manuals. All the user’s tasks are available in one single application and therefore – easy to track.

The product we worked on had to process data in a non-standard manner. Its atypical nature required creating multi-stage data processing that allowed for finding similarities between documents or cases. The idea was to build a unified view of data across multiple sources and formats.

Data science module

Based 100% on microservices, it analyzes documents and keywords related to the case and processes information on protected areas and species. It uses AI-techniques to identify similar cases to enable consistency and efficiency.

Dynamic application form

The product guides external users step by step through the entire application journey, depending on the specific requirements of that particular application. It provides advice on the correctness of the proposal and information about the area to which the proposal relates.

Flexible and configurable design

The product can be easily configured to support the needs and business processes of different clients and use cases without the need for bespoke development.

The Result

The new product contributes to the Scottish Government’s purpose of safeguarding nature for for citizens and balancing this with opportunities for sustainable economic growth.

The product provides tools for both applicants and those examining applications to make the process faster, simpler, and more effective. With such an effective product guiding external users through the application process, case officers receive better quality proposals and the need for additional back-and-forth information gathering is reduced. All case officers can access the same information base, improving the speed and consistency of responses. The product also facilitates knowledge transfer, providing relevant information and advice both for staff and land managers.
